From the weekly staff rota to reviewed timesheets

A hospitality rota has to cover opening, service and closing, often across kitchen, bar and front-of-house teams. Boss Ops connects the schedule to employee roles, site assignments, availability and leave so those records can be checked together.

  1. Step 1

Set up your sites and team

Add employees, choose their roles and assign a primary site plus any other sites they work at. Those assignments determine who appears on each site’s rota. Link HR information to the same employee record instead of maintaining another list.

  2. Step 2

    Build and review the rota

Create draft shifts, check availability and approved leave, and review the planned hours before publishing. Shifts that finish after midnight are treated as overnight shifts, rather than negative hours.

  3. Step 3

    Record the hours actually worked

Staff can clock in, clock out and record breaks through the staff workflow or a configured tablet PinPad. Location-restricted clocking requires site coordinates and device location permission; a browser cannot guarantee a GPS reading indoors.

  4. Step 4

    Approve attendance before payroll

Review recorded attendance against the schedule, correct discrepancies and approve the relevant records. Choose the payroll period and export format. CSV exports transfer reviewed data; they are not an automatic accounting or payroll integration.

Example: planning a busy restaurant weekend

Start with the people assigned to that restaurant. Check approved leave and availability, add kitchen and front-of-house shifts, then review the hours before publishing. After service, check clocking records and breaks before approving the pay period. This is an illustrative workflow, not a customer case study or a claim of guaranteed savings.

For a team working across a pub and a second venue, use multi-site assignments so the same employee record supports both schedules. Food purchasing and recipe costs remain available alongside workforce records when you need to review the wider operation.
